Late Tuition
The Wesley School Late Tuition Policy
At The Wesley School, we recognize the importance of providing a quality education while also maintaining the financial stability of our school. Timely tuition payments are critical to ensuring that we can continue to offer excellent programs and services. We understand that, at times, unexpected circumstances may affect a family's ability to meet payment deadlines. This policy has been created to outline the process and steps that will be taken in the event of late tuition payments.
1. Tuition Payment Deadlines
-
Due Date: Tuition is due on the 5th of each month, or as outlined in the specific payment agreement. Payment can be made via cash, check, or credit card (with fee). Direct mail of checks can be set up with your bank. We are also working on a paypal option that may become available.
-
Grace Period: A 10-day grace period will be given for payments made after the due date without penalty.
2. Late Fee Structure -
Late Fee: After the 10 day grace period (the 15th of the month), a late fee of $50 will be applied to the outstanding balance.
-
Continued Delinquency: If the balance remains unpaid at the end of the month the tuition is due, an additional late fee of $100 will be assessed monthly until the balance is up to date.
3. Communication and Notifications -
Initial Reminder: Families will receive a friendly reminder notice via email/text after the 5th of the month (due date). They will be reminded of the late fee after the10 day grace period.
-
Second Notice: If the balance remains unpaid after 10 days (the 15th of the month), a second notice will be sent via email/text, outlining the outstanding balance, accrued late fee, and the urgency of payment.
-
Final Notice: If no payment or communication is received by the end of that month, a final notice will be sent, which may include a request for a payment plan discussion, the additional late fee, and a potential suspension of student (e.g., access to school, participation in extracurriculars) until balance is paid.
4. Special Circumstances
We understand that life circumstances can sometimes make it difficult to meet payment deadlines. In the event that you are unable to pay tuition on time, we encourage you to reach out to the school office/Head of School to let them know of the circumstance or to discuss possible options, such as:
-
Payment Plan: We are happy to work with families to set up a customized payment plan to ensure that tuition payments can be made in installments.
-
Financial Hardship: In cases of significant financial hardship, we may be able to extend payment deadlines or offer partial scholarships, based on availability at the discretion of the school administration.
5. Consequences for Unpaid Tuition
If tuition remains unpaid after 30 days and no arrangement for payment has been made, the following actions may be taken: -
Suspension of Services: The student's participation in classes, extracurricular activities, and events may be suspended until payment is made or a formal payment arrangement is in place.
-
Account Referral: If payment is not made or no satisfactory arrangement is reached within 60 days, the account may be referred to a collection agency, and the student may be withdrawn from the school.
6. Biblical Approach to Finances
As a Christian institution, we believe in showing grace and understanding to our families. We are committed to working with each family to find fair and just solutions. However, timely payments are essential for the operational needs of the school and salary of our teachers. We encourage all families to communicate proactively with us if financial difficulties arise.
7. Final Note
We trust that you understand the importance of keeping tuition payments current. We value our partnership with you in providing an optimal Christian education, and we desire to work together in a spirit of collaboration and mutual respect. Should you have any questions or concerns, please do not hesitate to contact the Head of School.
